Before You Write
A useful first message names the systems in play, describes the problem in plain language and states what a good outcome looks like. If the issue is an integration that keeps failing, mention which systems are involved and how often the failure occurs. If the issue is cost, mention the current platform and the scale of the monthly spend. If the issue is security, mention any audit or client questionnaire with a deadline.
The team reads every message and will say plainly if the work is outside the practice. Where a request is a better fit for a different specialist, the reply will name the kind of firm to approach instead. That honesty is part of the service.
